CRE-4418 | Infotrack Searches > Auto-Create Disbursements (IE UK Region

A change has been made to bring the IE UK functionality inline with AU. Anticipated disbursement requests with VAT are now handled in the Infotrack integration. The response.xml for IE UK will contain <TotalFeeGST> where AU will contain <RetailerFeeGST>. 


CRE-4519 | Departments > Performance Reports

Resolves an issue where user could create identical department names with the use of trailing spaces. This caused an issue with Fee Earner Performance reports. Now users cannot create identical departments, or even spaces before or after department name.


CRE-4570 | API > CreatedOn Date

Background work has been done to ensure that API returns correct CreatedOn dates for matters.


CRE-4584 | Forms Designer > DateTime & SmallDateTime

An enhancement to forms designer. This relates to DateTime and SmallDateTime, and improves the use of the allowable date range.


CRE-4628 | Secondary Archive Folder

Background work has been done to resolve an issue with the nightly scheduled task to move archived documents to a secondary archive folder location.


CRE-4689 | Creating/Amending requisitions > Throws error message

An improvement to system whereby user can now smoothly create or amend a requisition as expected without any error messages.


CRE-4541 | Requisitions > Hold payment information

An enhancement in requisitions which enables a user to select a 'pay to' entity without saved payment information, and this retains any manually entered payment requisition information. Additionally, this fix also means that after a payment requisition is requested, these details are held on subsequent screens.

CRE-4705 | Legacy "Find" search options

The main PracticeEvolve menu, accessed by clicking the PracticeEvolve icon has been updated to remove the ‘Find’ submenu, the legacy reports previously accessed by this menu are no longer accessible.

The Civil / Criminal Bulk upload has been reviewed to ensure that no unexpected errors are presented.

Internal changes have been made to the Recently used Matters / Clients functionality to enhance performance.


CRE-4591 | Performance > Opening Matters

Internal changes have been undertaken to cater for clients with redundant Matter Schema fields.


CRE-4434 | Forms Designer > Replacement Tags

The forms designer has been enhanced to validate the creation of tags to ensure duplicates are not created.


CRE-4176 | Login into Practice Evolve > Deleted Draft Invoices.

The warning message "Invoice ID no longer exists" that could appear in certain circumstances, has been addressed.


CRE-4634 | General Report Separator Upgrade

Background changes have been made to resolve a General Report separator issue.

CRE-4480 | Outlook Integration > Duplicate Email Filing

Due to recent changes within Outlook some firms may have experienced duplicate email filing when an internal email is sent to several colleagues.  The Outlook Addin feature within Practice Evolve has been enhanced to cater for this scenario.


CRE-4590 | Outlook Integration > .NET Framework dependences

The Outlook Addin installer has been enhanced to remove any internal dependencies to .NET framework 2 and 3.5.


CRE-4596 | Outlook / Word / Excel Integration Installers 

Internal changes to the installers have been applied in this release, and users will not experience any change in functionality.

CRE-3239 | Client to Office Transfer > Client Payment Reference Numbers

The Client / Trust reference number sequence has been enhanced on a Trust/Client to Office transfer where there is an over-allocation of funds to an invoice or the office account role is unallocated.


CRE-4221 | Payment Requests > Entity Bank Details and Payment Methods

The ‘Payment Method’ section of a requisition has been enhanced to accommodate for saved payment methods against selected entities and editable details where the selected entity does not have a payment method. Once a payment method is applied to a requisition, it will only become editable again if the requisition is rejected.


CRE-4091 | Bank Details on Payment Requisition (Free Typed)

Fixed an issue to allow a user to free-type account details in a ‘Payment Requisition. Free-typed details remain editable until approved.

NB: Users will be forced to use saved details where they exist on file against a selected entity.


CRE-4105 | Payment Requisitions PDF and Revisions

Within this release the payment requisitions have been enhanced for PDF versioning, to cover all modifications made to the requisition.









CRE-4279 | Approval Stream Re-Evaluation

Further changes to the approval stream which sees the re-evaluation of the invoice upon modifying the record.


CRE-4468 | Internal VATReturn Tables > Entity Framework Creation

Internal changes have been applied to the UK sites VATReturn tables, this is a background change and will not affect users. The tables are:

  • VATReturnHistory
  • VATReturnHistoryTransaction


CRE-4418 | InfoTrack Searches > Auto-Create Disbursements (IE UK Region)

A change has been made to bring the IE UK functionality inline with AU.   Anticipated disbursement requests with VAT are now handled in the InfoTrack integration.  The reponse.xml for IE UK will contain <TotalFeeGST> where AU will contain <RetailerFeeGST>.

 

NB: Sites using InfoTrack should check their configuration to ensure Supplier as this is a prerequisite of this feature.


Reports 


CRE-4414 | General Reports - Report Column Criteria

Resolved an issue within ‘General Reports’ to ensure that columns which included a “.” within their name are correctly handled.

NB: There is a small chance that some report columns still do not show correctly. If this occurs, remove the column from the report and re-add it.


CRE-4415 | "New Matters Opened" Report > Deleted Matters

The ‘New Matters Opened’ report has been enhanced to exclude deleted matters.

CRE-4482 | Web Portal Discussion Screen

Changes have been made to the Web Portal Discussion screen as in some circumstances users were unable to add or view comments in the Web Portal.  In order to enable comment posting on the discussion tab the Admin user must log into the Web Portal and enable the feature 'Allow Client Comment Posting'


CRE-4522 | Web Portal > Client access

An issue has been addressed to ensure Client access for non-internal users.  


Pre-requisites - The client needs to have the relevant SMTP configured.


CRE-4486 | Workflow > Sending Emails without user interaction

The Workflow feature has been amended in relation to the email attribute within the toolkit.


Where the Email > Prompt attribute is equal to false and the ActingPersonUserEmail tag is set, this will ensure the email is sent silently.










CRE-4436 | "New Matter" Workflow Activity > User Attributes

An issue has been resolved with the “New Matter” workflow activity to ensure all user fields are not set by default to the user's details, apart from those attributes where the attribute name is identical between the Matter and Prospect.


CRE-4171 | Archived Matters > Outlook Search

Changes have been made to the Outlook matter search to include Archived Matters.


CRE-4178 | Generation of Team Tasks

The Team Tasks have been enhanced and only one task per team will be created.  Users within the team will no longer have a related task for each new groups task.


CRE-4273 | Internal changes to Entities with Recursive Parties

Internal changes have been made for enhanced handling of Contact / Organisation / Client and Matter for records that have recursive parties.


CRE-4269 | Documents > Files Without an Extension 

The system has been enhanced to resolve an issue to ensure that files without a file extension are correctly opened on a matter or client.


NB: Sites integrated with iManage will be blocked from performing this action, due to iManage not supporting this functionality.


iManage and Perfect Portal


CRE-4526 | iManage > Exceptions

Resolved several exceptions that were occurring with the iManage integration, including:

  • Duplication of email folder ID.
  • An issue with the calculation of the 'DocumaticsId' field.
  • Exception if "iManage ID" doesn't exist on the Document Schema.
  • Getting captions of two existing PE fields, lastmodifiedby and documentid.

Internal changes have been made around the Perfect Portal Deployment.

CRE-4309 | VAT Analysis Report Time Out Configuration

Internal changes have been made to the time out configuration for the VAT Analysis Report & “Submit VAT Returns”


CRE-4383 | Accounting Reports > Sales > Aging Analysis Cube - Aged WIP End Date

An issue has been addressed where the Aged WIP Analysis Cube in some instances would not validate the end date as expected.


CRE-4442 | Accounts Options > General > Allow Duplicates in Trust (Client) Receipt Number Sequence (UK and IE Region)

The duplicate receipt number functionality has been enhanced.  Where the setting Accounts Options > General > Allow Duplicates in Trust (Client) Receipt Number Sequence is active the user will not need to confirm if postings with duplicate receipt numbers can be actioned.



CRE-3874 | Accounting Reports > Sales > Aging Analysis Cube 

The Aged analysis cube has been enhanced to handle a scenario where a user deletes a finalised time entry and associated matter.

CRE-4283 | Timesheet Report Orientation 

The Timesheet report orientation has been defaulted to landscape.


CRE-4435 | Matter Close Routine > Instruction Date Check 

Upon marking a Matter as Completed where the “Instruction Date” is greater than a year, some users were presented with the following warning appear "Instruction Date: Instruction Date is 12 or more months earlier from the Current date".  This warning has now been addressed

CRE-4382 | Bulk Permissions Menu Visibility (AU Region)

The Bulk Permissions functionality located within the Management ribbon, has been extended to firms running the AU configuration.

CRE-4203 | Practice Evolve Scan via API (PracticeEvolveScanWatcher)

The API and standalone “Scan Watcher” executable have been enhanced to allow scans to be loaded into the default user scans location, previously the feature via the API was only configured for Matter scans.  This functionality is available to all Clients utilising the API, with a focus on Practice Evolve Hosted Clients.  


If your firm would like to move over to API scanning please contact Practice Evolve Support.

The API will utilise the standard settings within Tools > Practice Evolve Plus Options > Scanning > Default User Scan Location.  The name of each subfolder in this location must match a Practice Evolve user name.


Present functionality allows for scans to be imported automatically into Practice Evolve Scans Viewer area where the file can be split and filed to a Matter, and this change via the API now supports user level filing.









CRE-4391 | Internal > Entity Index Creation

Internal changes have been made around the handling of a full index rebuild, to cater for startup of the Practice Evolve Services with an empty index. 


CRE-4389 | Document Download / Upload Performance

The document download / upload process has been enhanced. With this enhancement the user will now experience increased document download / upload speeds.

Enhancements have been made around the performance of Matter Estimate Notifications

The Get Organisation Client has been enhanced to check for circular references on the API call.

CRE-4219 | Azure Files Library Sync

The Azure files library sync has been enhanced to ensure that folders which only contain shortcuts are handled correctly.


CRE-4145 | Brief / Bundling > Table of Content

Improvements to bundling have been included in this release around the Table of Content.

  • Page Numbering for Alphabetical, Section and Sections (Document Date) has been enhanced in relation to standard paper size and page orientation. 
  • Page Numbering Merge Field changes has been applied to the page numbering merge field to ensure it is populating successfully, this change requirement was identified within the April release.
  • Alphabetical Page Number Format has been updated to ensure the page number format is not displayed.
  • Alphabetical Sequencing has also had internal changes.


CRE-4147 | Brief / Bundling > Bookmarks

Improvements have been made which ensure that page numbering is consistent across the page, table of contents (TOC), bookmarks, to include the logical page numbers which are exposed by Acrobat Reader.


Example: Bookmarks will correlate with the numbering which appears in the TOC.






The logical page numbering table/mapping will be updated to show the assigned page numbering.








CRE-4363 | Brief / Bundling > Bookmark Generation warning messages

Warning messages within Brief / Bundle generation has been enhanced to inform the client if an issue has been identified with the bookmark generation.



iManage Integration

CRE-3888 | Workflow > 'Conflict Check' Activity

A resolution to Workflow functionality where a user can now use the 'Conflict Check' workflow activity with iManage integrated on the system.


CRE-3887 | Moving Documents between folders

The iManage integration has been enhanced to allow documents to be moved between sub folders and to be reflected in iManage.


CRE-4032 | iManage - Document folders

An improvement has been made to a specific document folder scenario, to ensure the correct folders are now being displayed across all open records for the user.


CRE-4113 | iManage - Apply template if the workspace has no folders

An improvement has been made to ensure the templated iManage folders are created, upon iManage being temporarily unavailable.


CRE-4123 | iManage > Logs 

Improved logging capabilities for iManage integrated site by implementing a new iManage logger.


CRE-4202 | Internal > iManage logging.

The iManage integration client logs have been enhanced to capture more user-friendly information.

Refinements have been made to the iManage user mapping process to support users with special characters within their name.

Within the iManage UpdateMapping method changes have been made to remove “bool KeepDocs” parameter as this was not required.

The internal functionality has been reworked to ensure the OAuth login screen is displayed accordingly.

An improvement to iManage integrated sites whereby the removal of the unrequired renew user token has been implemented; tokens are handled at Admin level.


CRE-4151 | Internal > Add PageSize config key for iManage document folders

As default iManage will return 25 documents folders and an enhancement has been applied to the API linking to override this value, by default this is now set at 100 and be configured further via the CMSService config.  Please contact Practice Evolve Support if you would like this default to be amended.

The third party DLL's for iManage updated to iManage Work Desktop for Windows 10.7

Enhancement has been made to the performance of requesting billing stages from the database.


CRE-4061 | Client AML/CDD exceptions

Changes have been implemented around the internal handling of the Client AML/CDD level Risk Level, whereby the previous AML/CDD document was deleted.


CRE-4055 | Ethical Walls > Additional Directory Security

This release introduces the default directory security searching for Ethical Walls to be false, this change has been put in place within the database to allow greater control with configuration amendments in CRE-4012.


CRE-4012 | Ethical Walls > Create config setting to control how Permissions checks are performed

Introduced a new config setting to assist with directory search performance and allowing the checking of entity permissions to be turned off, by default permissions are respected and contacts that do not have an associated entity will not be shown in the directory search.


CRE-4199 | Web Portal > Admin portal User screen

The Web Portal has been amended to allow the Users screen to be available for Web Admins.


CRE-4172 | Workflow Auto Start > Error Handling

A change has been made to the error handling in relation to the workflow auto start process, this change ensures that the Documatics service is not affected, and any relevant error messages will be presented to the user.

Enhancements have been made to the "Outlook Addin > File on Send" functionality around the performance of the Matter search results.

Additional checks have been put in place to ensure matter labels are deleted as expected.


CRE-4075 | Matters enhanced to respect Permissions when applied through a Group

An issue has been resolved to ensure that group permissions are correctly respected in search results from the PE Explorer when returning matters.

 N.B. It should be noted that the user will need to sign out and back in for the Group permissions to take full effect.


CRE-3894 | Document Preview > Temporary File Generation

Within Tools > Practice Evolve Plus Options > Document settings users are able to set Enable Document Preview

When a document preview is generated, a temporary file is saved from the Archive location to a temporary location on the server (%temp%\PracticeEvolve - ideally this folder will be empty).   


This change includes additional cleanup functionality to ensure the files are removed instantly after preview.  


Depending on the version you are upgrading from, your Firm may have files in this folder that need to be cleansed manually upon upgrade.

The AML button on the home ribbon was not responsive in certain scenarios, and this issue has been resolved.

An enhancement has been made to enable the attachment feature for Anticipated Disbursements. Within Anticipated Disbursements > Attachments > there is an Add New button









In addition, a new option has been added to the permission Accounting / Anticipate disbursements under the Management Tab > Manage Roles > Add Permissions called Remove Attachment, to enable the attachment to be removed.



CRE-4027 | Office Receipt Postings and Restricted Matters

The restricted matters functionality has been revised to allow Accounts to post office receipts for protected matters via Office > Record Office Receipt.


CRE-4019 | Permissions Accounting/Invoicing > Export to Non PDF Format

The Accounting/Invoicing "Export to Non PDF Format" permission has been enhanced to ensure the option is saved upon selection.


CRE-4016 | Internal > Interest Calculation On Historical Matters

Upon startup of the Practice Evolve services a check has been put in place to ensure historical matters have the correct database structure.  The initial service restart on this version may take slightly longer, and will not affect subsequent restarts.

Amendments have been made to the transactions screen to correctly reflect if an attachment is available.


CRE-4108 | Duplicate Trust (Client) Receipt Number

A new option has been introduced to control whether Duplicate Trust (Client) Receipt Numbers are allowed upon Accounts posting. This option is located in Accounts Options > General > Allow Duplicates in Trust (Client) Receipt Number Sequence.


With the new option unticked the user will be presented with a warning that will not allow them to proceed until the duplicate has been resolve




CRE-4074 | Composite Invoices > Grouping Invoice Items 

Grouping of professional fees on draft invoices are respected when incorporated into composite invoice.


CRE-3843 | Controlled Bank Account > Requisitions 

Improvements have been made to prevent the user from inadvertently selecting the wrong bank account when processing requisitions.


CRE-3917 | Invoicing > Bill Later Items 

Within the invoice creation routine and marking a work item as "Bill Later", upon utilizing the "Adjust Fees" option the "Bill 

Later" items would reappear.  This issue has been resolved.


CRE-4069 | Issue Statements > Select All  

Within Billing & Payments > Statements > the Select All button now fully functional within the Issue Statements screen.


CRE-3909 | Manual Balance Loading > Matter Opening Balances

Within Management > Set Opening balances amendments have been made to the opening balances calculations. 


CRE-3899 | Manage Lodgements > Lodgements Filter 

Amendments have been made to ensure the selected filters are upheld on the within the Manage Lodgements screen.





CRE-3816 | Manage Invoices > Advanced Search > Client Keyword

The Client Keyword filter on the Manage Invoices > Advanced Search screen has been enhanced to ensure the Client Code or Client Name are searched.


CRE-3996 | Processed lodgements > Attachments

The system has been enhanced in relation to processed lodgements which have attachments.  Attachments will be accessible / viewable at creation of a lodgement, modification and processing of the lodgement.  In addition, attachments are clearly displayed within the Matter Ledger.


CRE-3980 | Finalising Invoices > Unexpected Error 

An issue has been resolved whereby finalising a draft invoice displayed the warning One or more exceptions occurred while firing the topic 'DocumentQuickFilerequested', the user was required to ok the message before the invoice was finalised.


CRE-3932 | Requisitions and Lodgements > Rounding 

The Requisitions and Lodgements have been enhanced to set the maximum decimal places to 2 in the Amount fields for both 'Payment requisition' and 'Create Lodgement' views.


CRE-3986 | DEFT Remittance Template (AU Region)

The DEFT remittance template has been revised to remove payment methods that DEFT will stop supporting.  


The decommission date of these changes are 2024 Nov for Locked Bag and 2024 March for IVR.



CRE-3939 | Cancelling Anticipated Disbursements

Introduced a new control measure to prevent anticipated disbursements from being cancelled where there is a linked requisition.


CRE-3940 | Supplier > Credit Note warnings

The Supplier Credit Notes routine has been enhanced.  We now display a more meaningful message when users try to action a Credit Note, where no Purchases exist to be Credit Noted.



CRE-3972 | Manage Lodgements > Status

An enhancement to the Lodgement > Manage Lodgements screen has been implemented.  The Status: tick box now defaults to show only Received, Banked & Lodged items.







Bank Reconciliation and EFT


CRE-4001 | Modification to ASB - Bank Reconciliation Import (New Zealand region)

ASB Bank file importer has been enhanced in line with the latest format from the bank and the following payment types are included: 


37, 38,40,44,46 and 49 = Payment

43 = EFT Payment

97 = Receipt


CRE-3847 | Printed Requisitions > EFT references

Printed requisitions have been enhanced to display EFT references, for all payment methods where the Payment Method type is set EFT.

CRE-3832 | Metro Bank - Bank Reconciliation Import (UK Region)

A new Bank Reconciliation format has been created for Metro Bank.

The Metro Bank format requires the information to be provided in CSV with the following order.










  • Date is ‘Posting Date’ Column (A)
  • Type is subject to value of ‘Amount’ Column (G) Positive Value = ‘Receipt’, Negative Value = ‘Payment’.
  • Reference is ‘Payment Reference ’ Column (E)
  • Bank Transaction Type is ‘Transaction Type’ Column (C)

CRE-3792 | Library Emails - New <EvolveEmailID> Tag

Precedent Administrators now have a new tag <EvolveEmailID> that can be placed in Outlook Template Files(OFT) within the Library system. Once a OFT file is generated from a Client or Matter via the Library, the tag is populated with a unique ID (GUID). Once the email is sent, replies will get filed back to the Client or Matter. This aligns with current functionality but extends it to Library OFT files.

This feature is accessed within the Workflow designer screen by right clicking on a workflow, where the user will then have the opportunity to select a General Report (this must be created in advance).  This new feature allows the running of the predefined report.

A list of the matters that have accrued interest can be obtained from the ‘print report’ tab (prior to posting).

Details of the interest calculation can be viewed using the ‘View Interest Details’ tab - however the print button is greyed out so if a copy is required user can either print screen or run it on ad hoc and print from there.

In order to post, you need to select at least one entry from the ‘Calculated’ screen. All interest calculated entries displayed on BOTH the Calculated AND To Post screens will be posted - regardless of selection.

If the new “side by side reconciliation” option is selected on the “import bank transaction file” view, then two data grids are presented; one for transactions from the file and one for unreconciled journal entries that match the transaction accounts. 

Each row of each grid has a selection column which offers a check box. For each account present in the transaction list, if the sum total of selected entries' amounts does not balance between the two views when “Import” is selected, then an error message will be presented to the user; otherwise all selected journal entries will be set to matched. 

Selected transactions are treated as if “Match existing” had been selected. Matched Journal Entries will now appear in the Bank Reconciliation View with the Reconcile column ticked.

Ledger Balance for Trade Creditors was originally taken from the value of the Total field in the Aged Creditors Report. The value for the Nominal Client Deposit field is now subtracted from the Nominal Client Balance.

Note. Only matters meeting the criteria will be displayed in the bulk delete list i.e. the ‘Date of Destruction’ must be populated and must be in the past.

From the “Import Bank Transactions” view when “Post New” is selected the user will be able to add the matching posting entry from within the same screen.


CRE-2153 | Ensure Document Links Provided by API expire + restrict access

The API and WebPortal now share documents based on temporary download links. All document downloads via the portal now require the user to be logged in and have access to the matter.

To create a temporary download link, there is now a sub menu option (“Generate link…“) under “Web Portal” in the right click menu in the document explorer. Access to this is restricted as a role feature with the CREATE permission. The user needs to choose an expiry date and time for the link, but this is defaulted to 24 hours. The link uses an encrypted token of the expiration time as well as the document GUID so it is not possible to access the link beyond the expiration time without knowing the encryption key. The URL is not stored anywhere as all information required is in the link itself.

The existing Web Portal right click sub menu option for Permissions is also now updated to use the same role feature permission system with a permission type of UPDATE. A minor UI bug is also fixed where if a user did not have permission for any Web Portal sub menu option, the parent menu command still appeared.

The directory has been enhanced to replicate the search functionality that was previously only found within Practice Explorer.

Lucene search terms can now be used to carry out a far more powerful search within the directory, typical examples include:

  • Bob Smith, returns all Bobs and all Smiths.
  • +Bob +Smith, returns all records that contain Bob and Smith.
  • +Bob +Smith~, returns all records that contain Bob and Smith and accommodates variations to the spelling of Smith.
  • +Bob +Smith -Simon, returns all records that contain Bob and Smith but excludes any that also include Simon.

Whilst the examples noted above focus on searching for a name the search extends to many entity fields allowing you to search for emails and phone numbers etc.

NB. Allow time for re-indexing after upgrade otherwise directory search won't work.

If the amount doesn’t match then the entry will not be considered as a match. The matching is on Amount, Payment Reference, Date and Payee (Other Party). Each match
adds 25 to the confidence rating and is shown to the user as below:

• 100-“Very High”

• 75-“High”

• 50 - “Medium”

• 25-“Low”


What does it help a user do?

This will allow the user to quickly assess the likelihood that the 2 entries are the same and can therefore be reconciled.


What are the limitations if any?

The user should be aware that ultimately it is their responsibility when matching entries and not rely that the system has picked the correct entries ever time. This is more
significant when the confidence rating is a value other than “Very High”


CRE-1879 | Client to Office Transfer process allows duplicate payments against existing Disbursements.

System will prevent multiple allocations to the same disbursement.


CRE-1842 | Automated Bank Reconciliation process (bank import process) does not allow users to untick reconciled bank entries after bank import has been completed.


What did you change/add?

User can now unselect entries in the “Bank Reconciliation” view and after the “Reconcile” button is clicked this will unset the unmatched flag from that entry. This will mean
the entry will be available for reconciling again.


What does it help a user do?

This will allow the user to correct entries selected for reconciliation by mistake without having to request a sql correction.
